This position is responsible for overseeing compliance for wholesale and direct to consumer wine orders, ensuring federal and state tax returns are processed in a timely manner, and overseeing maintenance and accuracy of all wholesale and direct to consumer licenses. In addition, this position is responsible for processing daily wholesale orders and sample requests.

Essential Job Responsibilities:

• Responsible for the annual renewal of all federal and state licenses, permits and bonds. Ensure the proper posting of such licenses, as required, and all records and partners notified as needed. Work with third party partners to process renewals and changes. Stay aware of any changes to permit requirements or eligibility and respond accordingly.
• Process any officer changes notifying all agencies so records are up to date

• Process all Certificates of Label Approval, and maintain a log of all COLAs both pending and approved. Ensure approved COLAs are set up properly within software. Provide suppliers with new COLA approvals for label registration where needed for wholesale and direct to consumer.
• Maintain, update and process filing of Fictitious Business Names as needed.
• Collect data and complete monthly filings, including Federal excise tax return, Report of Wine Premise report, CA State Board of Equalization sales and excise tax returns.
• Complete import & export documents as needed, including TTB Proof of Export, and any paperwork for customs clearing and tracking of international wine samples with Fed Ex and UPS. Coordinate getting the wine cleared through our customs broker.
• Ensure that sales personnel are registered and licensed in the states that require an individual license.
• Keep DTC team updated with all state shipping regulations for DTC shipments.
• Daily processing of purchase orders and sample requests via third party warehouse.
• Coordinating and shipping wine and merchandising samples on behalf of Sales and Marketing personnel via UPS or FedEx

Qualifications/Education/Skills desired:

• A minimum of five (5) years previous winery compliance experience required.
• A bachelor’s degree strongly preferred.
• Knowledge and/or working experience of a winery and its operations are required.
• Proficient in Microsoft Office Suite, with an emphasis on Word and Excel
• Excellent professional and effective communications skills, written and verbal.


Physical Job Requirements:

Must be able to sit for several hours at a time while working on projects at your desk.
Must be able to proficiently type using Microsoft Word and Excel software.
Must be able to multi-task without becoming stressed.
Must be able to communicate in English, both in person and on the phone.
